Commercial Moving

Every year, we relocate a large number of offices. We've seen everything, from legal businesses and physicians' offices to laboratories and libraries, massive data centers, and event photography and film studios. We understand that moving a business of any size, whether it's a small medical office or a huge tech company occupying numerous floors in a high-rise building, can be both exhilarating and intimidating for even the most experienced movers.

There are numerous aspects of office relocation to consider, ranging from hiring a relocation agency to appointing a project manager to include staff in the process. Then there's the logistics, which include budgeting, moving timetables for computers, servers, internet services, phone equipment, and office furniture, setting up address changes, and assuring a safe and secure office move, to name a few.

Our office relocation professionals at Xfinity Moving have discovered that some items are routinely forgotten when it comes to moving an office, and here are the top recommendations:

Plan ahead to Minimize Disruptions

Examine your team's workflow while deciding on a timeline for your office relocation. Every company has periods of the year when it is busier than others, and it is critical to account for these. For example, relocating an accounting firm between January 1st and April 15th would be difficult and disruptive to its employees' work during this busy season.

Consider your Employees.

Before you decide to relocate, chat to your staff to see how they feel about it, especially if the new office is a long way from your current one. While it is easier for smaller businesses to do so, businesses of all sizes should think about the dangers and benefits of relocating. If the new commute is too difficult, some employees may decide to leave. Similarly, the new location may be closer to more of your employees or have superior amenities, such as a larger range of eateries within walking distance, an on-site gym or fitness facility, or closeness to renowned retail districts.

Go over your Lease or Tenant Agreements Again

Perhaps you've outgrown your current location or your company has been downsized, and you need to relocate as soon as possible. Review your present contracts and tenancy agreements to understand what you are responsible for in terms of rent even before you start shopping for new office space. Nothing is more frustrating than signing a new lease only to learn that you still have months or years left on your old one.

Reduce the size of your furniture and equipment

Take inventory of your desks, tables, seats, laptops, and other items once you've made the decision to relocate. If you plan to replace furniture or equipment after you move, it is far easier and more cost-effective to sell or donate these items before you move, rather than paying to have them transferred to your new area and then dispose of them.

Inform your Clients, Vendors, and Partners

It's easy to get caught up in the excitement of relocation that corporations forget to notify their employees. It's critical to send a letter or e-mail to customers, vendors, and partners as soon as possible, informing them of your new location's address, phone number, and other pertinent information. Don't forget to change your contact information on your website, letterhead, brochures, and other promotional materials. Finally, make sure your staff changes their e-mail signatures, as well as any social media accounts, such as Twitter, Facebook, LinkedIn, and Google+.
